Policy of Board

The Alumni Association Board Members Policy establishes guidelines and expectations for members serving on the Alumni Association Board at Gulf Medical University (GMU). This policy aims to promote effective governance, ethical conduct, and accountability among board members, ensuring the successful operation and growth of the Alumni Association.

Roles and Responsibilities

  • Commitment: The main aim of the GMU Alumni Board is to strengthen the relationship between the University and its graduates. Board members are expected to actively participate in board meetings, committee work, and association events. They should dedicate sufficient time and effort to fulfill their responsibilities effectively.
  • Governance: The Alumni Board consists of 11 members including a President and two Vice Presidents and eight other members representing each college. Board members are responsible for upholding the mission, values, and strategic objectives of the Alumni Association. They should contribute to the development and implementation of policies, programs, and initiatives that align with the Association’s goals.
  • Networking and Outreach: Board members should actively engage with alumni, fostering relationships, and encouraging their involvement in association activities. They should represent the Alumni Association positively within the community and act as ambassadors for GMU.

Selection and Term of Board Members

  • Eligibility: To be considered for a position on the Alumni Association Board, individuals must be GMU alumni and demonstrate a commitment to the University’s values.
  • Nominations and Appointments: The Board members shall be nominated by the college. The selection should aim to ensure diversity in terms of expertise, graduation years, and geographical representation.
  • Term of Service: Term for the Alumni Board shall be two years. Renewal or reappointment is possible, subject to an evaluation of their contributions, attendance, and adherence to board policies.

Board Meetings and Communication

  • Frequency: The Board will convene regular meetings to discuss matters of importance, make decisions, and evaluate progress towards goals.
  • Notice and Preparation: Board members should receive sufficient notice of upcoming meetings and relevant materials to allow for thoughtful preparation and engagement.
  • Attendance: Board members are expected to attend meetings promptly and consistently. If unable to attend, they should notify the Board President or Vice President in advance.
  • Confidentiality: Board members must maintain strict confidentiality regarding sensitive Association matters discussed during meetings or related to alumni affairs, respecting the privacy and integrity of the Association and its members.

Code of Conduct and Ethical Guidelines

  • Conflict of Interest: Board members must disclose any potential conflicts of interest and refrain from engaging in activities that may compromise their objectivity or impartiality.
  • Professionalism and Respect: Board members should treat fellow board members, staff, alumni, and stakeholders with respect, professionalism, and courtesy, fostering a positive and inclusive environment.
  • Compliance: Board members must adhere to all applicable laws, regulations, and policies governing the Alumni Association’s operations and activities.
  • Ethical Conduct: Board members should act in the best interest of the Association and avoid actions that may harm its reputation or credibility.

Board Member Training and Evaluation

  • Orientation: Newly appointed board members should undergo a comprehensive orientation to familiarize themselves with the Association’s mission, activities, bylaws, and relevant policies.
  • Training and Professional Development: Board members should have access to ongoing training opportunities to enhance their knowledge and skills related to governance, fundraising, leadership, and alumni engagement.
  • Performance Evaluation: Regular evaluations should be conducted to assess a member’s performance, contributions, and availability.
